Do I have to change my clinic number, or stop using WhatsApp on the phone?
Neither. BainStack links to your number as an extra device — the same mechanism as WhatsApp Web. Your staff keep WhatsApp on the clinic phone, see every chat, and can jump in and type at any moment. Nothing is moved and nothing is deleted.
Is this an official Meta integration?
No, and we would rather say so plainly. BainStack connects as a linked device rather than through Meta's paid Business API. That is why there is no verification, no message templates to get approved, and no per-conversation charge. The trade-off is that WhatsApp can restrict a number it decides is automated. Clinics that only reply to patients who messaged first — which is almost all of what this does — very rarely run into trouble, and we cap sending speed by default to keep it that way. If you would rather have Meta's guarantee, tell us and we'll talk about the official route.
What if the clinic phone is switched off?
Short outages are fine — the session reconnects and picks up anything that arrived meanwhile. If the phone stays offline for roughly two weeks WhatsApp unlinks the device and you scan again. We alert you long before that, the first time the phone goes quiet for more than a few hours.
What happens to a question the bot can't answer?
It says so, stops, and drops the chat into your inbox marked “Needs reply”. It does not guess. You decide which topics always go to a person — insurance, refunds and anything clinical are on that list by default.
Can patients still reach a human?
Always. “Talk to the front desk” sits in the option tray, and typing something like “human” or “doctor se baat” hands the chat over straight away. The bot then stays quiet on that chat for 24 hours.
Is patient data safe?
Messages are stored in Mumbai and encrypted at rest. Only the people you invite can read them. Chat history is kept for as long as you choose; appointment records are held for seven years as clinics are required to, then deleted.
How long does setup take?
Most clinics are live the same afternoon. Connecting the number takes a few minutes, and filling in hours and treatments takes about twenty. Setup calls are free on every plan if you would rather we did it with you.
What if we already use practice-management software?
BainStack handles the WhatsApp side and exports appointments as CSV or to Google Calendar. If you are on Practo, Cliniify or a custom system, tell us which one — we have an API on the Clinic plan and can usually sync both ways.
